About the Role:
As an Optometry Department Medical Assistant, you will provide essential administrative and clinical support to ensure smooth, efficient operations. Your responsibilities will include managing patient interactions, assisting with eyewear services, supporting clinical workflows, and facilitating effective communication across departments. Your efforts will directly contribute to a positive patient experience and contribute to the health and vision of our community.
Key Responsibilities:

Patient Access & Front Desk Support:
Greet and check in patients for optometry appointments using Epic. Verify demographics, insurance coverage, and eligibility. Schedule follow-ups and referrals, and monitor patient flow to maintain punctual appointments. -
Epic Documentation & Administrative Assistance:
Create, update, and close patient encounters in Epic. Upload external prescriptions, referrals, and screening documents. Track pending orders, referrals, and communications via MyChart. Generate reports on no-shows, recalls, and overdue referrals. -
Eyewear & Glasses Support:
Assist patients with frame selection, take basic measurements, and perform simple glasses adjustments. Educate patients about lens options and frame care. Document eyewear choices in Epic and coordinate with optical labs for order processing and inventory management. -
Clinical Support & Workflow Optimization:
Aid optometry staff during busy clinics by preparing exam rooms and materials. Support the clinical flow to enhance efficiency and patient throughput. -
Care Coordination & Follow-up:
Manage internal and external referral queues, communicate with providers, and ensure proper documentation of glaucoma screening and other special tests. Follow up to facilitate timely patient care. -
Patient Communication & Customer Service:
Answer calls, manage messages, and guide patients on testing procedures, glasses pickup, and next steps. Strive to provide a professional, welcoming, and compassionate environment. -
Compliance & Safety:
Maintain strict confidentiality consistent with HIPAA regulations. Complete required training modules and adhere to safety, infection control, and patient communication policies.
Qualifications:
- High school diploma or equivalent required
- Completion of a Medical Assistant training program is required
- Prior experience in an optometry or eye care setting is required.
- Familiarity with Epic (scheduling, check-in, documentation) is highly desirable
- Ability to assist patients with eyewear, including basic adjustments and frame selection
- Excellent verbal communication skills and cultural sensitivity
- Organized, reliable, and capable of multitasking in a fast-paced environment
