Key Responsibilities
Administrative & Operational Support
- Manage and maintain inventory of medical and office supplies; track usage, replenish stock, and coordinate vendor communications.
- Keep accurate records of supplies, purchase orders, and deliveries for cost-effective inventory management.
- Assist in preparing reports, forms, and correspondence for internal communication and external agencies.
- Maintain organized digital and paper filing systems for administrative, financial, and patient documentation.
- Support the coordination of staff meetings, training sessions, and clinic scheduling.
- Provide administrative assistance to clinical leadership and medical staff as required.
Clinical Support
- Prepare and organize patient charts and documentation to streamline provider workflows.
- Communicate effectively with laboratories, pharmacies, and external healthcare partners regarding test results, referrals, and records.
- Accurately input data into Electronic Health Records (EHR) systems, ensuring compliance and documentation integrity.
- Support quality improvement initiatives by maintaining logs, audits, and required reports.
Compliance & Quality Assurance
- Uphold strict confidentiality and adhere to HIPAA, OSHA, and safety standards.
- Ensure clinic supplies and equipment are properly stored, labeled, and tracked for expiration.
- Participate in safety checks, emergency preparedness, and infection control protocols to maintain a safe environment.
Qualifications
Education & Experience
- High school diploma or equivalent required; an associate degree or certification in Medical Office Administration is preferred.
- 1-2 years of administrative experience in healthcare or clinical settings.
- Familiarity with Electronic Health Record (EHR) systems and inventory management processes.
Skills & Competencies
- Strong organizational skills with the ability to multitask efficiently.
- Exceptional attention to detail and accuracy in documentation.
- Proficiency in Microsoft Office Suite, general office equipment, and Epic EHR platform.
- Basic understanding of medical terminology, office procedures, and healthcare workflows.
- Excellent written and verbal communication skills.
- Ability to collaborate effectively within a diverse, community-focused environment.
Work Environment & Additional Details
