Medical Front Desk Receptionist (Contract to Hire)

Location: San Jose, CA — serving the Santa Clara Valley Medical Center area and Regional Medical Center area
Pay Rate: $24/hour
Schedule: Monday – Friday, 8:30 AM – 5:00 PM; Thursdays 10:00 AM – 7:00 PM (as needed)

Position Overview:
The Medical Front Desk Receptionist is the first point of contact for patients and visitors. This vital role ensures smooth clinic operations by welcoming patients, managing appointments, verifying insurance information, and providing exceptional customer service. This position offers a pathway to full-time employment with career growth opportunities within a community-focused healthcare environment.

Key Responsibilities:
  • Greet and assist patients and visitors upon arrival, assessing their needs and directing them accordingly
  • Schedule, reschedule, or cancel patient appointments following organizational policies using Epic EHR system
  • Answer incoming calls, screen calls, provide relevant information, take messages, and transfer calls to appropriate staff
  • Verify patient insurance eligibility, including Medi-CAL and CalWORKs, and communicate coverage details to patients
  • Check patients in and out, update demographic and insurance information accurately in the system
  • Assist patients with forms, questions, and concerns related to their appointments or accounts
  • Collect payments from patients following established cash handling procedures
  • Monitor calls on hold to minimize wait times and ensure excellent patient experience
  • Relay messages and important information between patients and medical staff
  • Maintain confidentiality of all patient information in compliance with HIPAA and organizational policies
  • Collaborate with staff and management to ensure efficient office operations and patient flow
  • Perform additional duties as assigned to support clinic functions and patient care initiatives

Qualifications:
  • High school diploma, GED, or equivalent required
  • At least one year of experience in a healthcare setting, particularly in primary care or mental health outpatient clinics
  • Proficiency in Epic EHR required
  • Proficiency in insurance verification processes including Medi-CAL and CalWORKs required.
  • Strong computer skills, including data entry, Microsoft Office, and internet navigation
  • Exceptional verbal and written communication skills in English
  • Bilingual abilities (Spanish, Mandarin, Vietnamese, Tagalog) are a plus.
  • Proven ability to maintain confidentiality and privacy of sensitive information
  • Excellent customer service skills with a compassionate and professional demeanor
  • Adaptability to change and proactive in seeking clarification when necessary
  • Ability to work effectively with diverse populations and as part of a multidisciplinary team
  • Ability to pass criminal background check and Live Scan fingerprinting
