Medical Assistant – Front Office (Contract to Hire)

Location: San Jose, CA (serving Santa Clara Valley Medical Center area and Regional Medical Center area)
Pay Rate: $23.50 per hour
Schedule: Monday – Friday, 8:30 AM – 5:30 PM; Thursday evenings from 10:00 AM – 7:00 PM (once a month or as needed)
Position Type: Contract to Hire (potential for permanent placement based on performance)

Position Overview:
The Medical Assistant – Front Office plays a vital role in providing exceptional patient service by managing front desk operations, assisting with appointment coordination, verifying insurance, and supporting smooth clinic workflow. Key Responsibilities:

  • Welcome and greet patients upon arrival, assess their purpose of visit, and guide them accordingly.
  • Answer, screen, and transfer incoming phone calls promptly and professionally, providing necessary information or taking messages.
  • Schedule, reschedule, or cancel patient appointments in accordance with clinic policies using Epic EHR.
  • Verify patient insurance coverage, including Medi-Cal, CalWORKs, and other programs.
  • Check-in patients, update demographic and insurance information, and ensure records are accurate and current.
  • Assist patients with completing paperwork and provide information on services as needed.
  • Collect co-pays and process payments in line with established cash handling procedures.
  • Support back-office tasks as required, including basic clerical duties and data entry.
  • Maintain confidentiality and privacy of all patient information according to HIPAA guidelines.
  • Collaborate with clinical and administrative staff to ensure excellent patient care and efficient clinic operations.

Qualifications:

  • Completion of Accredited Medical Assistant Program.
  • Minimum of 1 year of experience in a primary care outpatient environment.
  • Proficiency with Epic Electronic Health Record (EHR) system required.
  • Experience with insurance verification, particularly Medi-Cal and CalWORKs, a plus.
  • Strong customer service and communication skills, with the ability to assist diverse patient populations effectively.
  • Proficiency in data entry, Microsoft Office applications, and internet navigation.
  • Bilingual skills in Spanish, Mandarin, Vietnamese, Tagalog, or other languages are highly desirable.
  • Ability to maintain confidentiality, adapt to change, and work well within a team.
  • Flexibility to ask clarifying questions and handle a fast-paced work environment.
